Free cancellation ends at a deadline. When hotels, cruises, tours and flights auto-cancel unpaid bookings, and how agencies cancel before penalties apply.

"Free cancellation" means free until a deadline, not forever. Each hotel rate, cruise and tour sets the date when a booking stops being refundable, and suppliers can cancel unpaid bookings on their own once a payment date passes. Auto-cancellation turns that around: your agency cancels unpaid refundable bookings before the deadline, so you never owe the penalty.
Free cancellation is a clock. Auto-cancel is how you watch it. Below: how the deadlines work for hotels, cruises, tours and flights, what suppliers do with unpaid bookings, and a timeline for keeping travelers in the loop.
It means you can cancel without a charge up to a cutoff the hotel sets for that rate. After the cutoff, the booking behaves like a non-refundable one.
The cutoff lives in the rate rules, not in one chain-wide policy. Accor's Flexible Rate offers free cancellation "close to the hotel stay date according to the hotel policy". Its sales conditions say the Special Conditions of each reservation set the terms to cancel or modify it.
Prepaid rates skip the free window entirely. Hilton's Advance Purchase rate charges the card immediately for the entire stay, with no refunds or credits for changes, cancellation or no-show. Accor grants no refund on a prepaid reservation.
What happens if you miss the deadline on a flexible rate? At Accor, the card on a guaranteed booking is not debited at booking. On a no-show for a cancellable booking, the hotel charges that card for the first night, and the additional nights are cancelled without charge.
The phrase covers two different things, and agencies deal with both.
The first happens to you. The second is a tool you use.
Among the suppliers checked, an unpaid balance can end the booking, and the deposit usually stays with the supplier.
| Supplier (US terms) | Final payment due | If it isn't paid | Source, as checked October 2026 |
|---|---|---|---|
| Globus | 60 days before departure (90 or 180 days for some regions and trips) | Reservation cancelled; deposit, airfare and travel protection premiums forfeited | Travel terms, revision of September 8, 2026 |
| G Adventures | 60 days; Expedition tours 120 days | May treat the booking as cancelled and keep the deposit as a cancellation fee, or change the rate | USA booking terms, sections 12 and 29 |
| Intrepid | 56 days | Reminder first; no payment within 3 days of it and you are deemed to have cancelled | Standard booking conditions, clause 4 |
| Carnival | Ticket valid only once final payment is received before sailing | If an Auto Pay card payment fails, Carnival reserves the right to cancel the reservation and the rest of the cabin | Ticket contract, Auto Pay terms 39 and 41 |
Carnival also shows how strict the clock can be. When one guest cancels and the cabin's fare is recalculated, the new balance is due by 11:59:59 p.m. EST on the eve before the penalty period starts. Miss it and the contract says it will result in automatic cancellation of the reservation for the entire cabin. That clause covers recalculated fares only, not an ordinary unpaid balance.
The penalty dates matter as much as the payment dates. At Carnival, cancellation charges on a 2–5 day cruise start at 75 days before sailing. Royal Caribbean's balance is due 75, 90 or 120 days out, depending on cruise length, and some itineraries move to earlier deadlines for sailings from April 11, 2028. For the full supplier list, see deposit and final payment schedules.
Is there a free window before the deposit? At the tour operators checked, no. Globus says a reservation is confirmed when the initial deposit payment is processed, and Intrepid requires a non-refundable deposit for the booking to be confirmed. G Adventures' deposit is non-refundable and due at booking. Inside 60 days of departure it wants full payment at booking.
Under US rules, at least 24 hours when you book a week or more ahead. 14 CFR 259.5(b)(4) requires covered airlines to let a reservation be held at the quoted fare without payment, or cancelled without penalty, for at least 24 hours. The airline picks which one it offers.
Beyond that window, an unticketed reservation runs on the airline's ticketing time limit (TTL): the deadline to issue a ticket. Each airline sets its own. Finnair, for example, told agents in a December 2019 notice that if no ticket is issued before the given date and time, unticketed segments will be cancelled.
Booking APIs expose the same idea as a field. Duffel's hold orders carry a payment_required_by time. If you don't pay before it, the airline releases the space, and you need a new order. Holds are not yet available for all airlines there. See travel booking APIs and selling flights without an IATA code for how agencies get this inventory.
Hotel APIs do it too. Expedia's Rapid API lets a partner hold a room without charging it. If the booking is abandoned, it is automatically rolled back and the room is released. Not every rate is eligible for hold and resume.
| Booking type | Auto-cancels or turns non-refundable | What to watch | Source |
|---|---|---|---|
| Hotel, flexible rate | Free cancellation ends at the hotel's cutoff; a no-show costs the first night at Accor | The cutoff date and time in the rate rules | Accor |
| Hotel, prepaid rate | Non-refundable from booking | Rate name and the "no refunds" line | Hilton |
| Hotel API hold | Rolled back if not resumed | Whether the rate is holdable | Expedia Rapid |
| Escorted or adventure tour | Can be cancelled for non-payment after the balance date; deposit usually kept | Balance date: 56–60 days out at the operators checked, and up to 180 days for some trips | Globus, G Adventures, Intrepid |
| Cruise | Penalties start around the final payment date; Carnival reserves the right to cancel after a failed Auto Pay payment | Final payment and penalty dates on the confirmation | Carnival, Royal Caribbean |
| Flight, US 24-hour window | Hold or penalty-free cancel lasts at least 24 hours | Whether the airline offers hold or cancel | 14 CFR 259.5 |
| Flight, unticketed | Segments cancelled at the ticketing time limit | TTL in the booking, set per airline | Finnair, Duffel |
These are the published terms of the named suppliers, as checked in October 2026. Other suppliers, promotions and group bookings set their own.
Practical guidance, not a supplier rule. These steps follow from the deadlines above.
Practical guidance. A simple sequence, built around the earlier of the free-cancel and payment dates:
| When | What to send |
|---|---|
| At booking | The free-cancel deadline, the payment date, and that unpaid bookings will be cancelled on your cutoff |
| 7–14 days before your cutoff | A payment reminder with the link and the exact date and time |
| 48 hours before your cutoff | A last reminder that names what they lose if it lapses, such as the rate or the cabin |
| At cancellation | Confirmation that the booking was cancelled at no charge, and how to rebook |
The 7–14 day reminder matches the client buffer in deposit and final payment schedules. Don't count on supplier reminders for slack: Intrepid gives only 3 days after its reminder before treating the booking as cancelled.
